Who is providing the services?

Specialists of mental health such as Licensed Professional Counselors, Licensed Marriage & Family Therapists, Psychiatric Mental Health Nurse Practitioners, Psychiatrists, Psychologists, and Social Workers. Providers are certified by their state's professional board after successfully completing the required education, exams, training, and practice. All have a State Licensure or are formally supervised. There are supervised practitioners whose status is clearly demarcated.

What type of services and specializations are available through Totalpsychcare?

Counseling, medication management, support groups, and comprehensive in/outpatient treatment. The professionals treat depression, anxiety, addictions, chronic pain and illness, eating behaviors, ADHD, trauma, anger, interpersonal conflicts, sleeping disturbance, LGBT, grief, self-esteem, end of life, and religious matters, etc.

How to refer to a Mental Health Provider?

• From the landing page, select the type of service desired: Therapist, Medical Prescriber, Clinc/Treatment Facility, or Treatment facility. Indicate the desired provider location. If you want a listing of all providers in your state (to consider telehealth services), simply indicate the state without a zip code. If you have a specific provider in mind, type in their name.
• The provider filter will fine tune the search for insurance type, specialization, and patient age, etc. You may use this function or scroll through the site. Click the picture of the provider to get more information. The Filter is most useful if you select one function at a time.
• The therapist can be notified via encrypted e-mail through the “Request an Appointment” option on the providers landing page. This option will require a username and password for you and/or your referring facility. You can safely send encrypted medical records along with the referral.
• After a provider has been selected, it is also possible to contact them via phone or by entering their professional website, which may be listed on the provider’s page.
• Alternatively, you may choose to direct your patients to totalpsychcare.com where they can use the selection filters to choose a provider for themselves.

How can I utilize the REFERRAL CENTER for help in choosing a therapist provider?

The Referral Center, aka. “the mother ship” receives, assigns and tracks referrals to their completion. It is designed to assign a patient referral to a therapist who seems to have the best fit with insurance, specialization, demographics, etc., and to insure the referral does not “fall between the cracks.” The Referral Center is used primarily by Referring Centers at hospitals, medical schools and joint practices. You will be able to track the referral through the Doctor Portal. THIS SERVICE IS AVAILABLE ONLY FOR MAKING REFERRALS TO INDIVIDUAL THERAPISTS, NOT PRESCRIBERS, CLINICS, OR TREATMENT CENTERS. PLEASE SEND REFERRALS FOR MEDICATION MANAGEMENT TO A SPECIFIC PRESCRIBER, NOT TO THE REFERRAL CENTER. Once a referral is sent, what happens next?

• An e-mail will be automatically sent to the referral source and they are encouraged to respond to the patient within 24 hours or less. Totalpsychcare.com does not track or monitor referrals unless they are directed at your discretion to the Referral Center. You can always contact the referring source by encrypted e-mail. The e-mail feature is not designed or recommended to provide clinical services.
• It is possible for your entity to have organizational software to administrative functions that receive, assign, and track referrals. This service is designed for group practices, hospitals, and Accountable Care Organizations (ACOs). Please contact us at 806-576-2745.

Where is the clinical service provided?

The service will be provided either at the professional’s physical location or via telehealth through the patient’s computer, tablet, or cell phone.

No provider available in your area for the specific needs of your patient? Totalpsychcare is in collaboration with Doxy.me to provide encrypted telehealth services so the patient can receive care directly from their home in some circumstances. You can easily identify telehealth providers on this site. Many insurers cover telehealth services.

Where is the patient mental health medical record stored and how do you gain access to them?

The referral source will be responsible for keeping and maintaining the records although it is possible to receive them with permission of the patient. It is customary for the referring source to get a copy of the initial assessment but subsequent records are generally e-mailed unless requested.

How is the privacy of myself and my patient protected?

We are committed to securing your privacy and confidentiality by using current technology and following HIPAA Guidelines for the transmission of ePHI (your health information).
