Totalpsychcare is a listing platform that helps medical health providers gain access to counseling, medication management, clinics or treatment centers for their patients, which address mood, life challenges, and wellness. We promote integrated care and improve patient outcomes by offering them easily accessed, discreet, and professional mental health treatments.

What is our role?

We actively solicit medically based patient referrals, providing health care providers with mental health referral options. We also provide communication formats such as encrypted e-mail and telehealth services to facilitate referrals and multidisciplinary care.

Where do the patient referrals come from?

• Many of the patients originate from medical settings who may have mood disturbance, chronic health problems, substance abuse, physical distress due to acute situational events, chronic pain, challenges in healthy functioning, and life threatening/terminal illness.
• Clients may access your listing directly through this website, without a referral from the medical system.
• Referrals may also come from state agencies, insurance carriers, and colleagues.
• Referring sources may direct a patient directly to Totalpsychcare without designating a provider, in which case the patient will make that choice, helping them to be actively involved in the process (and thus more likely to follow-up with treatment).
• Health care professionals make referrals for therapy services to our Referral Center without designating a therapist, which we assign.

Who can have a free listing on Totalpsychcare?

Specialists of mental health such as Licensed Professional Counselors, Licensed Marriage & Family Therapists, Psychiatric Mental Health Nurse Practitioners, Psychiatrists, Psychologists, and Social Workers. Providers must be certified by their state's professional board after successfully completing the required education, exams, training, and practice. AThey must have a State Licensure or be formally supervised. Supervisees will note their supervision status and the supervisor will have a listing on Totalpsychcare.

How will you receive a referral and communicate from this site?

• From the landing page, the client or referring entity, such as a doctor, will select the type of service wanted: Therapist,;Medical Prescriber; Support group; or Treatment facility. They will also indicate the geographic scope of the provider “Net”. You have the option of providing telehealth services across the state.
• The provider filter will then help one select a service according to insurance type, specialization, patient age, etc. As the search is narrowed, a client or medical professional may enter your personalized site to get a closer look at your profile.
• Once the selector has chosen you as a provider, they may make contact via phone or website (If you have provided that information).
• The selector can also contact you via encrypted e-mail on the “Request an Appointment” option of your landing page. Once the patient or referral source has set a username and password, you are ready to communicate with them safely and securely. Your use of e-mail after the initial communication will vary depending upon your arrangement with the patient. You may also receive medical records through this service.

Once a referral is sent, what happens next?

An email will be sent to your designated email address indicating that a referral is available in your Therapist Portal. Totalpsychcare.com does not track or monitor referrals that are received through a complimentary listing. At this time, the e-mail feature is not designed or recommended to provide clinical services.

Telehealth capabilities

There are many reasons it may not be practical or convenient to have face-to-face contact with a patient, including geographic isolation, transportation problems, physical disabilities, or lack of a specific provider specialization in your area. Totalpsychcare is in collaboration with Doxy.me, providing you and your patient access to encrypted telehealth services. Telehealth providers are easily identified on this site. Many insurers cover telehealth services.

How do I optimize the use of this listing site?

• If you don’t have specializations that are geared toward the enhancement of health and wellness, then consider developing them. In addition to basic treatment of depression and anxiety, management of persistent health problems such as chronic pain, sleep disturbance, obesity, hypertension, and diabetes are bound to peak some interest from medical referrers.
• Choose your top 5 specializations wisely as they are the only ones used for the selection filter. Depression and anxiety treatments are bound to be noted by many professionals, but they may not set your listing apart very well. The more unique specializations may get fewer “hits,” but more likely land a quality referral. You might supplement your bread and butter treatments with a few specialized care options.

How do I list a Clinic/Treatment Center and all the professional staff when they share one common email address for receiving referrals?

By making a listing in the Clinic/Treatment Center section (Step 2) and then adding an individual listing (Step 3) for each professional, be it Therapist or Medical Provider.

Step 1: Choose an email address where all referrals will be received.

Step 2: Sign up your Clinic/Treatment Center

1. Start from the home page at totalpsychcare.com.
2. Click on “Providers Sign Up for Free Listing.”
3. Under the “I want to receive referrals!” click the “Create My Free Listing.”
4. Enter the Clinic/Treatment Center email that will receive referrals for all professions. (Remember this address as we will use it when entering each individual listing).
5. Enter and then confirm a secure password.
6. From Choose Account Type, Select the option “Clinic/Treatment Center.”
7. Click “Register.”
8. Enter the details for your treatment center.

Step 3: Sign up your individual Therapists/Medical Providers

1. Click the “Create My Free Listing” under the “I want to receive referrals!” on the Sign Up Page.
2. Enter the professional’s individual email that will be used for log-in purposes in this account only. (Remember that this address will not be receiving referral emails).
3. Enter and then confirm a secure password.
4. From Choose Account Type, Select the option “Therapist” or “Medical Prescriber”.
5. Click Register.
6. On the Therapist Info page find the field labeled “Referral Email”. Enter the email for the Clinic/Treatment Center that you chose in Step 1. This will route all emails for this individual user to the Clinic/Treatment Center email address.
7. Proceed with filling in the rest of the account details for the Therapist or Medical Prescriber.

Who can I contact using encrypted e-mail?

You will be capable of having e-mail communications with any client that has been sent by a referring entity and by any client who contacts you directly on the site. It is also possible to e-mail any mental health provider or referring entity that is using the Totalpsychcare system. You can block e-mails.

What services on Totalpsychcare.com are free?

• The listing, encrypted e-mail, therapist resources, and telehealth capabilities are completely free. You will receive referrals from medical professionals and others who directly request your service. If you are providing therapy services, there may also be opportunities to receive patients from a Referral Center originating from clinics, hospitals, and medical schools that we assign to qualified sources in a provider network. The Referral Center may also refer to providers who have a free listing if there is a good “fit” between a patient and a therapist who is out of the network.
• It’s possible to have remote practice management capabilities and electronic health records for therapists, which seamlessly integrate with the referral information. Contact us for further information.

How is privacy protected?

We are committed to securing your privacy, security, and confidentiality by using current technology and following HIPAA Guidelines in the transmission of ePHI.
